Writing quotes in the evening is one of the most common admin jobs for tradespeople. There are two kinds of tool that help: job-management apps, which keep the quote, job and invoice in one place, and general AI assistants, which help with the wording. Many small firms use one of each.
Job-management apps built for trades
Tradify
Tradify covers quotes, jobs, scheduling and invoices. Its pricing page lists Lite at Lite £34/user/month, with Pro at £37 and Plus at £44 per user per month. The AI writing tool (SmartWrite) is listed on the Plus plan. There's a 14-day free trial.
ServiceM8
ServiceM8 has a free plan for 1 user and up to 30 jobs a month, which includes its AI Writing Helper. Paid plans start at Starter £25/month (excl. VAT). It's a good way to try a job app without paying anything.
Powered Now
Powered Now is a UK trades app for quotes, invoices and jobs, with Making Tax Digital features. Its Business plan is Business £28/month (or £280/year), plus VAT, with a 14-day free trial.
Already use accounting software?
If you only need tidy quotes and invoices, the accounting package you use for your books may be enough. Xero starts at Ignite £18/month (excl. VAT), and FreeAgent starts at From £33/month (limited company). FreeAgent is free for eligible NatWest, RBS, Ulster Bank and Mettle business customers.
Use an AI assistant for the wording
ChatGPT and Claude both have free plans. They're useful for turning rough notes ("replace 2 rads, new TRVs, flush system") into a clear scope of work, or for drafting your terms and a polite payment reminder. Then paste the text into your quoting app.
- Check every price, quantity and VAT figure yourself: AI tools can make mistakes.
- Avoid pasting customers' personal details into a general AI chat unless you're comfortable with that provider's privacy terms.
What a clear quote usually includes
- What's included, and what isn't
- The total, and whether it includes VAT
- How long the quote is valid for
- Payment terms (deposit, due date, how to pay)
For business customers, UK law lets you claim statutory interest on late payments. That's 8% plus the Bank of England base rate, unless your contract sets a different rate (GOV.UK). Putting your payment terms in the quote helps avoid arguments later.
